Touchless check-in: how contactless visitor sign-in works

Contactless check-in moved from a nice-to-have to an expectation, and it turns out to be good practice for reasons well beyond hygiene: it's faster, it scales, and it puts the sign-in form on the device the visitor already trusts — their own phone. Here's how touchless visitor sign-in actually works.

What touchless check-in means

Instead of typing on a shared kiosk, the visitor scans a QR code — printed at reception or sent in a pre-registration invite — which opens the check-in form on their phone. They complete it there, the host is notified, and a badge prints, all without touching a communal screen.

How it works, step by step

  • The visitor scans a QR code at the entrance, or taps a link from their invite.
  • The check-in form opens in their phone's browser — no app to install.
  • They confirm details (pre-filled if pre-registered) and consent to the privacy notice.
  • The host is notified for approval, and a badge prints or a mobile pass is issued.

Why it's worth it

  • Hygiene — no shared surface at the point of entry.
  • Speed — several visitors check in at once instead of queuing for one kiosk.
  • Lower hardware cost — a printed QR can replace or supplement a kiosk.
  • Familiarity — people are comfortable filling forms on their own phone.

Touchless and pre-registration go together

Touchless check-in is at its best when the visitor is pre-registered: the QR in their invite opens a form that's already filled in, so arrival is a tap to confirm. For walk-ins, a QR at the desk still beats a shared keyboard. Either way it complements, rather than replaces, the kiosk.

Keeping it private

Because the form is on the visitor's own device, one guest never sees another's details — a quiet privacy win over a shared screen or an open logbook, and consent is captured cleanly at the point of collection in line with the DPDP Act.
