Multi-tenant visitor management for facility managers

13 Aug 2026 6 min read

A managed office building has a single front desk but many occupiers, each with their own visitors, hosts and rules. Facility managers have to give every tenant a clean experience while keeping one accurate picture of who is in the building — a balance a shared paper logbook can not strike.

The multi-tenant challenge

  • Each tenant wants its own hosts, branding and visitor policies.
  • Tenants should not see each other's visitor data.
  • Facilities still needs a building-wide view for safety and security.
  • One reception team serves everyone, so the flow must be simple.

What good multi-tenant looks like

Per-tenant configuration with data separation, a shared reception flow, and a facilities-level roll-up. A visitor for one occupier checks in, their host is notified, and the record stays private to that tenant — while facilities can still answer who is in the building in an emergency.

Why the building-wide view matters

In an evacuation, tenant boundaries do not matter — you need everyone. A single live on-site list across all occupiers is what makes a building-wide roll call possible, and it feeds accurate visitor analytics for reception staffing and space planning.
